Most services and teams hold a stock of goods and consumables. These can range
from office consumables such as pens and paper, through to large volume items
such as rock salt and building materials. These stocks may be held in large or small
volumes dependent upon their type and usage. This document has been produced
to provide guidance for buyers and stock managers and to help raise awareness of
good stock management.
Most stock held by Council services falls into one of two categories:
Consumables – these are generally low value, high usage items that are not
necessarily critical to the performance of the service and are generally easy to
obtain at short notice.Such items include stationary, cleaning materials,
refreshments,etc.
Critical Stock Items – these tend to be high value, low usage items that are
essential to ensure the running of a service. These items include equipment
parts,spares such as toner cartridges,etc.
Factors to consider when ordering new stock
Whether you are restocking raw materials required for a factory production line or
making sure that there is an adequate supply of ink cartridges for the office printers,
the general principle of restocking remains the same.
When you are restocking you need to consider the following:
Forecasting – plan ahead taking into consideration future projects, usage
and workload to ensure that you have the appropriate stock to cover usage
peaks (especially where suppliers have long delivery periods or lead times).
Frequency - based on forecasting information and supplier lead times, place
orders at appropriate intervals to ensure that minimum stock levels are
maintained.
